What Size Should a QR Code Be on a Banner?

Apply the ten-to-one rule: about 1 cm of code width for every 10 cm of scanning distance. Someone standing a metre from a roll-up needs 10 cm; a trade stand read from three metres needs 30 cm. On an outdoor banner people cannot approach, size for the fence line rather than for the fabric.

  • The Standard Sizes - a roll-up banner is typically 850 x 2000 mm, exhibition backdrops run 2-3 m wide, and outdoor PVC banners are made to order. A 20 cm code is a quarter of the width of a roll-up, which surprises people the first time they place one.
  • Height Off the Floor - keep the code between 1.2 and 1.6 metres from the ground. The bottom 300 mm of a roll-up is usually behind a table or a passing shoulder, and the top metre is above where anyone can steady a phone.
  • Quiet Zone at Scale - four modules on every side still applies, so a 30 cm code needs roughly 5 cm of clear banner around it. At banner scale that reads as a design gap and is a functional requirement.
  • Movement Costs You Focus - an outdoor banner in wind never holds still long enough for a camera to lock on a small pattern. Outdoors, take the size a step up from what the distance alone suggests.

Exhibition stands are the case where the rule gets ignored most often. A Lead Form

The reason most exhibition banners carry a code at all: a short form that captures a name and an email without a clipboard. Keep it to three fields - anything longer is filled in by nobody standing up.

A Product or Service Page

What the banner is advertising, in the detail a two-metre print cannot hold. The visitor has already read the headline, so the page should start where the banner stopped.

A Brochure or Spec Sheet

A downloadable PDF replaces the tote bag of paper nobody carries home from a trade show. It also survives the flight back, which printed literature rarely does.

A Booking or Demo Slot

For stands with a diary to fill: the code opens the calendar and the visitor books while standing in front of you. It converts interest before the next stand takes it.

Sixty seconds of the thing working, for a product too large or too abstract to bring. Useful on construction, machinery and services stands where the real object cannot be in the hall.

    Measure Where People Will Stand

    Walk to the position a visitor takes when they stop - usually about a metre from a roll-up, further from a stage backdrop. Multiply that distance by 0.1 and that is the code width.

Vinyl, Mesh and Weather

Banner material decides whether a code survives its environment. Gloss vinyl mirrors venue lighting back into the camera, mesh perforations physically remove part of the pattern, and outdoor movement stops a phone from focusing at all - none of which shows up on the artwork proof.

  • Matte Vinyl Over Gloss - ask for a matte finish on any banner going under exhibition lighting. Gloss PVC under a spotlight produces exactly the bright rectangle a camera cannot decode.
  • Avoid Mesh for Codes - mesh banners are perforated to let wind through, and the holes eat modules. If the code has to go on mesh, oversize it heavily so each module spans many holes, and test the printed sample.

Before the Banner Is Printed

A banner is a single large print with a long life and no way to patch a mistake. These are the checks that pay for themselves on the first stand.

  • Size for the Step-In, Not the Aisle

    People read banners from a distance and scan them from close up. The scanning distance is the one that sets the size, and it is almost always shorter than the design assumes.

  • Keep It Out of the Bottom Third

    Tables, plants, queues and shoulders occupy the lowest 700 mm of every stand. A code there is a code nobody can point a phone at during the busy hour.

  • Give It a Reason and a URL

    A line of text saying what the scan opens, and the short address printed underneath. The address catches everyone standing too far back to scan.

  • Ask for Matte

    Matte vinyl costs the same as gloss and removes the single most common banner failure. Specify it on the order rather than hoping.

  • Scan It in the Hall

    Test on site before the doors open, from a standing position, under the venue's lighting. This is the only test that includes the lights, the glare and the crowd distance together.
